How Gantt Planning collects, uses and protects personal information when you use this website, buy or try Gantt CSS, and run the software, in line with the Protection of Personal Information Act (POPIA).
Draft 1 · Last updated 28 October 2026
1.Who we are
Gantt Planning ("we", "us") makes and sells Gantt CSS, construction scheduling software for Windows. We are the responsible party under POPIA for the personal information described here. Our details, including our Information Officer, are on the company information page.
This policy covers the website, the enquiry form, the online store and account pages, the licence service that the software contacts, and our emails. It does not cover the programmes you make with Gantt CSS: those stay on your own computers, and we never receive them.
2.What we collect
| When you visit the website | Nothing personal. The website sets no cookies and runs no analytics or advertising scripts. Our hosting provider keeps short-lived server logs, such as IP addresses, for security. |
|---|---|
| When you send an enquiry | Your name, email address, company (if you give it), the topic you choose and your message. |
| When you start a trial or buy | Your name, company, email address, country, the number of users, and a password (stored only as a one-way hash). The payment provider tells us the payment reference, amount, currency and status. |
| When the software checks its licence | A request code made from your computer (hashed parts of the computer’s identity, never files or programme data), the computer name, the licence number and a sign-in token. This happens when Gantt CSS starts and about once a day. |
| When people are added to a subscription | The email address of each person given a seat, and their name when they set up their account. |
We never receive or store card numbers or bank details: the payment providers collect them on their own pages.
3.Why we use it
- To answer enquiries and arrange demonstrations you ask for.
- To provide the software: issue and renew licences, limit each user to the computers the licence allows, and stop licences that have ended.
- To take payment, issue VAT invoices and keep the records the law requires.
- To send service emails: verification codes, password links, receipts, renewal reminders, failed-payment notices and seat invitations.
- To keep the services secure and prevent abuse, for example with rate limits.
Our grounds under POPIA are: performing our contract with you or taking steps you asked for (section 11(1)(b)), complying with the law (11(1)(c)), and our legitimate interest in running and protecting the services (11(1)(f)). We do not send marketing emails unless you have agreed to receive them, and every such email lets you opt out.
5.Information sent outside South Africa
Some of these providers process information outside South Africa, for example in the European Union, the United Kingdom and the United States. We only use providers bound by data-protection laws or contract terms that give protection substantially similar to POPIA, as section 72 requires.
6.How long we keep it
- Enquiries: for as long as we need to deal with them, and up to two years afterwards.
- Accounts, licences and computer records: while the subscription runs, then for up to two years so that a returning customer can continue, unless you ask us to delete them sooner.
- Payments and invoices: five years after the tax period, as the Tax Administration Act requires.
- Security logs: a few weeks.
7.How we protect it
All traffic is encrypted (HTTPS). Passwords and sign-in tokens are stored only as hashes. Licences are signed, so the software cannot be given a false one. Access to our systems is limited to the people who need it and protected by multi-factor authentication. If a breach affects your information, we will tell you and the Information Regulator as POPIA requires.
8.Your rights
You may ask us what personal information we hold about you and receive a copy; ask us to correct, update or delete it; object to how we use it; and withdraw any consent you gave. Contact us through the details on the company information page or the enquiry form. We may ask you to prove who you are before we act.
If you are not satisfied with our answer, you may complain to the Information Regulator.
9.Children
Gantt CSS is professional software. We do not knowingly collect information from anyone under 18.
10.Changes to this policy
When this policy changes, the new version and its date appear here. If a change affects how we use information you have already given us, we will tell account holders by email first.
